Overview
The Applicants section is where recruiters manage candidates who apply to company job postings. You can view applicant profiles, review submitted documents, update hiring stages, leave notes, and decide whether to move candidates forward.
Viewing applicants
To view applicants:
Go to Recruiter Dashboard.
Select Applicants.
Use filters to narrow the list by job, status, date, score, or workflow stage.
Click an applicant to open their profile.
Applicant profile information
An applicant profile may include:

Personal Information | Candidate name, email, phone number, and basic details |
CV or Resume | Uploaded resume document |
Transcript | Academic transcript if required |
Portfolio | Candidate portfolio, GitHub, LinkedIn, or website |
Application Answers | Responses to screening questions |
Assessment Results | Scores from tests or skills assessments |
Interview Results | AI or manual interview feedback |
Notes | Internal recruiter or hiring manager comments |
Status History | Timeline of hiring stage changes |
Filtering applicants
You can filter applicants by:
Job title
Application status
Hiring stage
Assessment score
Interview score
Application date
Candidate location
Skills
Tags
Assigned reviewer
Filters help recruiters prioritize candidates and manage large applicant pools more efficiently.
Updating applicant status
To update an applicant’s status:
Open the applicant profile.
Click Change Status or move the applicant to another stage.
Select the new status.
Add an optional internal note.
Save the update.
Common statuses may include:
Status | Meaning |
New | Application has been received |
Reviewing | Recruiter is reviewing the candidate |
Shortlisted | Candidate passed initial review |
Assessment Sent | Candidate has been invited to complete an assessment |
Interview Scheduled | Candidate has been selected for interview |
Offer Stage | Candidate is being considered for an offer |
Hired | Candidate has been hired |
Rejected | Candidate will not proceed |
Adding notes
Recruiters and hiring team members can add internal notes to applicant profiles.
Use notes to record:
CV review comments
Interview feedback
Concerns or strengths
Follow-up actions
Hiring manager decisions
Keep notes professional, objective, and relevant to the hiring decision.
Communicating with applicants
Depending on TalentLabs settings, recruiters may be able to send messages or status updates to applicants.
Before sending a message, check:
The applicant’s current stage
Whether the message template is correct
Whether the applicant should receive the update now
Whether any team approval is required
Rejecting an applicant
To reject an applicant:
Open the applicant profile.
Click Reject or move them to Rejected.
Select a rejection reason if required.
Choose whether to notify the candidate.
Confirm the action.
Use rejection reasons consistently so your team can review hiring quality and process outcomes later.
Best practices
Review applicants against the job requirements, not personal assumptions.
Use structured criteria such as skills, experience, assessment results, and interview feedback.
Avoid writing subjective or inappropriate internal notes. Keep hiring records clear, fair, and defensible.
