Overview

The Automatic Hiring Workflow helps recruiters process applicants with less manual effort. TalentLabs can automatically move candidates through stages based on rules, screening answers, assessment results, AI interview outcomes, or recruiter-defined criteria.

This workflow is useful for high-volume hiring or roles with clear evaluation criteria.

When to use an automatic workflow

Use an automatic workflow when:

  • You expect many applicants

  • The role has clear skill requirements

  • You want faster screening

  • You use assessments or AI interviews

  • You want consistent candidate evaluation

  • Your team wants to reduce repetitive manual review

Common automatic workflow stages

A typical automatic workflow may include:

Stage

Purpose

Application Received

Candidate submits an application

Eligibility Screening

System checks basic requirements

Skills Assessment

Candidate completes a test or task

AI Interview

Candidate completes an AI-led interview

Auto-Shortlisting

System ranks or filters candidates

Recruiter Review

Recruiter reviews recommended candidates

Final Decision

Recruiter or hiring manager makes the final decision

Creating an automatic workflow

To create one:

  1. Go to Jobs.

  2. Create a new job or open an existing draft.

  3. Go to Hiring Workflow.

  4. Select Automatic Workflow.

  5. Choose the stages you want to include.

  6. Set rules for each stage.

  7. Review the workflow.

  8. Save and publish the job.

Setting screening rules

Screening rules help the system identify candidates who meet basic requirements.

Examples:

  • Minimum education level

  • Required years of experience

  • Required technical skills

  • Work authorization

  • Location eligibility

  • Availability date

  • Assessment score threshold

Use clear rules. Avoid overly strict filters unless the requirement is genuinely essential.

Assessment automation

You can configure TalentLabs to automatically send assessments to candidates who pass the initial screening stage.

Assessment settings may include:

  • Assessment type

  • Passing score

  • Time limit

  • Number of attempts

  • Deadline

  • Reminder messages

  • Auto-rejection rules

  • Auto-shortlisting rules

AI interview automation

If enabled, TalentLabs can invite candidates to complete an AI interview.

The AI interview may evaluate areas such as:

  • Communication clarity

  • Role understanding

  • Technical knowledge

  • Problem-solving approach

  • Behavioural responses

  • Job-specific competencies

Recruiters should still review final recommendations before making important hiring decisions.

Auto-shortlisting applicants

TalentLabs may automatically shortlist candidates based on configured rules.

For example:

  • Shortlist candidates with assessment scores above a set threshold

  • Move candidates with incomplete applications to a pending stage

  • Flag candidates who meet all required criteria

  • Reject candidates who fail mandatory eligibility questions

Reviewing automated results

To review results:

  1. Go to the job.

  2. Open Applicants.

  3. Filter by Shortlisted, Recommended, or Needs Review.

  4. Open each applicant profile.

  5. Review their application, scores, and system notes.

  6. Move the candidate forward, request more information, or reject.

Best practices

Do not rely only on automation for final hiring decisions. Use automation to organize and prioritize applicants, then apply human review for important decisions.

Test the workflow before launching a high-volume job.

Use reasonable thresholds. Overly strict rules may reject good candidates too early.
